Administrator - Mental Health Services

About the role 

Day to day you will be responsible for a range of administrative duties, such as ensuring that files are created swiftly and accurately when patients are referred to us for treatment and reports are processed diligently.

You will be part of a strong team of Administrators all working together at our Fareham office – with some temporary home working due to covid.

Key responsibilities

  • Entering mental health referrals onto our bespoke case management system, determining the required treatment from supporting medical evidence and ensuring the referral meets the correct criteria
  • Booking patient appointments via our bespoke booking system
  • Review reports completed by therapists, submitting reports to instructing parties
  • Authorising approved treatment, arranging first treatment sessions and assisting in-house therapists with ad hoc future booking needs
  • Liaising with patients, instructing parties and therapists using written and verbal communication
  • Obtaining treatment updates and updating relevant involved parties
  • Raising invoices to customers, and processing supplier invoices
  • Answering general enquiries, both to our central email inbox and via telephone
  • Building effective working relationships with colleagues, in-house and external therapists, and customers
  • Adhering to company values and departmental SLAs
  • Working in compliance with appropriate company policies and procedures, including our Data Protection Policy

Essential experience and skills

  • Good PC/keyboard skills
  • The ability to cope well under pressure and keep a cool head 
  • An excellent telephone manner and very good attention to detail
  • A flexible approach with the ability to adapt quickly to meet the demands of a busy environment
  • Educated to GCSE level or with equivalent professional experience
