An exciting opportunity has arisen to join the NHS Administration team in Fareham on a permanent contract. We are looking for people who have ideally worked in an office environment previously and possess excellent IT skills, together with the ability to work effectively as part of a team.

How your role fits within our team

Working within the NHS Administration team you will be responsible for ensuring that patients files are created swiftly and accurately. You will review all documentation prior to being sent to our instructing parties, so good attention to detail is key. Liaising daily with patients, GPs & our internal teams a great verbal and written communication skill is key along with a positive attitude.

Key responsibilities

  • Enter Referrals onto our bespoke system, ensuring the referral meets the correct criteria for the contract & ensuring the referral is clearly highlighted if requires urgent attention.
  • Review reports completed by therapist & request amendments as required ensuring high attention detail is used at all times.
  • Send letters to GPs advising how many sessions have been recommended or completed along with any comments by the physiotherapist whilst ensuring we meet external SLAs.
  • Handling incoming and actioning outbound calls or emails from/to patients, physiotherapist and GP Surgeries, ensuring excellent customer service is provided each time.
  • Providing GP surgeries with Appointment Lists as applicable.
  • Cancelling and rearranging appointments in line with company procedures.
  • Working in compliance with appropriate company policies and procedures, and understanding and adhering to the Data Protection Policy.


Knowledge experience and qualifications

Knowledge & skills

Essential

  • Good PC/keyboard skills
  • The ability to cope well under pressure and keep a cool head
  • An excellent telephone manner and very good attention to detail
  • A flexible approach with the ability to adapt quickly to meet the demands of a busy environment

Desirable

  • Microsoft Excel skills (basic or intermediate)

Experience

Essential   

  • Experience within an office environment or other relevant customer service experience

Desirable

  • Experience within a busy administration team
  • NHS related experience

Qualifications

Essential

  • Educated to GCSE level or equivalent professional experience.

Desirable

  • Additional Administration or Customer Service qualification (NVQ or equivalent)
